One Platform for the Whole Dental Clinic
DentalSoft is a cloud practice-management platform for dental clinics in Argentina and Latin America. It runs the clinic from the first appointment to the final payment, and a public patient website feeds bookings straight into the schedule. Vasrue’s lead engineer, Lucas Lim, led design and delivery with the DentalSoft team.
Product: DentalSoft (dentalsoft.com.ar) · Market: dental clinics and independent practitioners, Argentina and Latin America · Project lead: Lucas Lim, Vasrue lead engineer · Delivered as: software as a service, no installation

The schedule: where the whole clinic starts its day
The problem: a clinic held together by paper, phones and one person’s memory
Before a system like this, a typical clinic books by phone or a personal WhatsApp, so a patient who writes at 11 p.m. has picked another clinic by morning. Patients miss appointments with no reminder. Only one person really understands the schedule. Records live on paper, with tooth charts drawn by hand. Insurance coverage and practitioner commissions are worked out in spreadsheets, and nobody knows the day’s takings until someone counts them.
DentalSoft replaces all of that with one system. It isn’t a single-purpose booking tool: it covers the clinic’s full operating surface, from the clinical record through payments, insurance settlement and staff commissions.
What the platform does
Two halves that work as one. The clinic software runs everything inside the practice; the patient website finds and serves patients outside it. A booking made on the website lands directly in the schedule, so nobody enters it twice. Lucas marks the areas Lucas focused on personally.
Clinical and administrative
- Schedule and appointments LucasSmart scheduling with drag-and-drop management across practitioners, plus Google Calendar sync.
- Digital patient records LucasBuilt around an interactive tooth chart with 18 clinical states per tooth, so the record shows actual dental condition, not free text.
- Orthodontics LucasCase tracking with photo galleries that follow each case across its treatment timeline.
- Productivity dashboards LucasKPI reporting for clinic owners: occupancy, revenue and practitioner productivity.
- SettlementsAutomatic practitioner commissions and insurance reimbursements. The same treatment pays out differently depending on practitioner, coverage and plan.
- Insurance, quotes, cash and collectionsArgentine insurance coverage applied at quote and billing time, treatment quotes from the clinical plan, and daily cash management.
Automation and patient engagement
- WhatsApp appointment reminders LucasAutomated reminders over the WhatsApp Business API. When a patient confirms or cancels, the schedule updates itself.
- AI virtual assistant LucasAnswers patients’ inbound questions on the clinic website and hands off to clinic staff when needed.
- Online bookingPatients pick a practitioner, date and time on the clinic’s own site, around the clock.
- Payment reminders and patient recoveryScheduled outreach driven by the patient record, not by manual lists.
- Clinic websiteEach clinic gets a site with services, testimonials, galleries and SEO. It works as the booking front end, not a brochure.
The product speaks Spanish. Here it is in English.
DentalSoft serves clinics in Argentina, so the live product is in Spanish. To make it easy to follow, each screen below appears twice: the original on the left, and an English translation of the same screen on the right.
The product’s home page. “Cut no-shows, organize patient records, automate appointments and win more patients with a professional online presence.”
A clinic’s own website, built on DentalSoft. It’s the booking front end, where online appointments and the AI virtual assistant live.

The hard problem: teaching the AI where to stop
Once the virtual assistant was live, it started answering questions outside its scope: patients asked medical questions, and it answered them. Nobody reported it. A clinic’s assistant can explain how to book a cleaning; it must never act like a dentist.
- Found it in the logsThe team caught the problem by reviewing real conversation logs, not from a complaint.
- Tightened the refusal rulesThe assistant’s instructions now define clearly what it may and may not answer.
- Added a human handoffKeyword triggers route medical and sensitive questions straight to clinic staff.
- Built a test set from real conversationsA labelled set of real patient conversations now checks every prompt change before it goes live.
“In short, it is important to determine the limits of AI.”
— Lucas Lim, lead engineer
That lesson is built into how Vasrue delivers AI automation projects: written limits on what the AI may answer or do, human handoff for anything sensitive, and testing against realistic scenarios before launch.

What this project shows
- Leading design and delivery of a multi-module SaaS platform
- Turning complex business rules (commissions, insurance) into software
- Messaging automation over the WhatsApp Business API
- An AI assistant with scope limits, human handoff and regression testing
- Connecting a public website to the back office, so data is entered once
- Dashboards that turn daily activity into decisions
DentalSoft is owned and operated by its own company in Argentina; this isn’t a Vasrue client engagement. It shows a team project led by Lucas Lim, Vasrue’s lead engineer, and is shared with his permission. The areas marked “Lucas” are the ones he focused on personally; the rest of the platform was built with the DentalSoft team. Screens come from the product’s public site and show its demo clinic, not real patient data. The live product is in Spanish; the English screens are translations made for this case study. The no-show figure is DentalSoft’s own reported result. Not affiliated with or endorsed by WhatsApp, Google or MercadoPago.

Need an AI assistant that knows its limits?
Scheduling, reminders, customer messages, records: if your team repeats the same work every day, we can build the system that takes it over and hands the exceptions to a person. AI automation projects are hired through Upwork.
